It is recommended that you use a laptop or desktop for our workshops, but this cheat sheet also has directions for phone and tablet users! If any questions come up while you are reading, please finish reading before contacting me. It’s very likely I answered your question further down the page. You can also find answers to your questions online at zoom.support.us 

How our meeting will be set up:

After clicking on our zoom link and opening zoom you will be held in a waiting room. Please sit tight and wait patiently for a host to let you in to the meeting, we will be working as fast as possible to make sure everyone who is supposed to be there is let in.

Once I let you into the meeting you will be automatically muted. You cannot unmute yourself; I have to unmute you manually.

The chat box is set up so that you can only send messages to the facilitators of the workshop and me.

How to contact me and basic technology instructions:

If you have a question about technology, you are free to call me at +1-860-459-6200 or email me at elisabeth@ucol.ca. I spell Elisabeth with an S not a Z, and if you accidentally misspell it, I will not receive your email. (And don’t worry, my phone number will not charge you; I have a great international plan!)

Also, if you go to support.zoom.us you will be able to type in any support questions you have and look through their tutorials on how to use different functions. This might work well to help you prepare for our meetings.  

Sending Messages During the Meeting:

If you want to send the hosts a message while we are in the workshop, you can use the chat box on zoom. This chat function is found at the bottom of your screen with a little speech bubble next to it. (If you are on a tablet or phone, the chat button is found when you click the more… button on the bottom of your screen.)  

How to Unmute:

If you have any questions related to the workshop content and/or you wish to be unmuted during our meeting, you can use the “raise hand” function. To find the raise hand function look at the bottom of your screen and click the Reactions button that has a smiley face on it. Once you click that you will be able to click a button that says raise hand. You are expected to use that function anytime you wish to be unmuted.             (If you are on a tablet or phone, this function can be found when you click the more… button on the bottom of your screen.)

If you do not have a raise hand function at the bottom of your screen, don’t worry! To raise your hand, you will instead have to click on the participants button at the bottom of your screen and locate your name at the top of the list of participants that will show up to the right of your screen. Once you find your name you will be able to click on the blue more button and find the raise hand function.      

Breakout Rooms:

If you are in a breakout room and are having technical issues you can hit the ask for help button on the bottom of your screen and I will come to assist you. (Again, for tablet and phone users, this function is found once you click the more… button on the bottom of your screen.)  

If you wish to leave the breakout room but don’t want to leave the whole workshop hit the blue leave button and then pick the option that says either leave room or return to main session. If you click the leave meeting button you will be removed from the entire meeting. If this happens just click the original zoom link found in your email and I will let you back into the workshop.  

Polls:

We will be using polls at different times throughout the workshops to gauge people’s reactions to the content and connect with each other in a unique way. When a poll is being used, it will pop up on your screen. You must answer each question to submit the poll, if one is not answered zoom will not allow you to hit submit. These polls are anonymous during the zoom call. You will be able to see the poll results after everyone has answered.
